What is HVAC sales software? The short answer
HVAC sales software is the tooling an HVAC contractor or HVAC supplier uses to find, visit and close customers. For a team with 20 to 100 reps, revenue is decided before anyone builds a proposal: which building owners, property managers and contractors each rep sits down with this week.
On 8 November 2026 we read the sales pages of ServiceTitan, Housecall Pro, Jobber, FieldEdge and Service Fusion. Four of the five describe good, better and best options for the customer in front of them; the fifth, Service Fusion, describes estimates that become jobs. Where those pages mention a map, a route or GPS, it gets a technician to a job already booked. Lead Mapper starts earlier, at the account nobody has called on yet: every account in your CRM on one map, cut into territories, each rep's day routed by drive time and every visit logged back to the CRM.
Two kinds of HVAC sales software
Search for HVAC sales software and the results are proposal tools. Here is what each vendor's own page says the sales feature does:
| Tool | What its sales page describes, in its own words | What that points to |
|---|---|---|
| ServiceTitan | Techs build "multi-option proposals on the fly, right from their mobile device", and a "Present" mode takes "the burden of “selling” off of the technician" | The technician in the customer's home |
| Housecall Pro | "As a home service provider, you can offer options to your customers by presenting a ‘good, better, best’ proposal." | The home service visit |
| Jobber | "Package different offerings into good-better-best options to capture more revenue per job." | The job and the crew |
| FieldEdge | "good, better and best options for homeowners" | The homeowner visit |
| Service Fusion | "Prioritize jobs and assign to sales"; the mobile app shows "a map and driving directions to jobs" | Jobs and estimates already booked |
| Lead Mapper | Every CRM account on one map, territories per rep, a daily route by drive time, each visit logged to the CRM record | The sales rep who has to fill those calendars |

The proposal tool wins the table once the rep is sitting there. Lead Mapper decides how many tables your reps sit at, and it runs next to ServiceTitan, Housecall Pro or whichever job system you use, on the CRM where your accounts already live.
What an HVAC sales rep's job actually is
A commercial HVAC account manager role posted through Michael Page in Greater Boston (read 8 November 2026) lists the work in four lines: "Develop and manage relationships with commercial building owners, property managers, facility directors, and end users", "pursue new business opportunities for HVAC service agreements, equipment replacements, retrofits, controls upgrades, and energy-efficiency projects", "Create and execute territory and account growth plans", and a "Valid driver's license and willingness to travel locally to customer sites." Those are four jobs a field sales tool has to support:
- The accounts. Building owners, property managers, facility directors and contractors on one map, pulled from HubSpot, Salesforce, Pipedrive, Zoho CRM, Microsoft Dynamics and six more CRMs.
- The territory. Draw one territory per rep on the map. Lead Mapper writes the owner back to the CRM, so two reps never call on the same property manager.
- The route. Each rep's day ordered by drive time, on iPhone or Android, in driving mode with each stop marked done or skipped.
- The visit. One tap logs the visit as an activity on the account, with time, location and notes, so the agreement renewal and the replacement quote start from what the rep saw on the roof.
HVAC sales by the numbers: how many accounts one rep can own
If you sell to HVAC contractors: the Census Bureau counts 111,207 establishments (sites, not companies) in NAICS 238220, plumbing, heating and air-conditioning contractors, with 1,214,761 employees in 2023 (County Business Patterns, read 8 November 2026; the code covers plumbing and HVAC together). 12,601 of those sites have 20 or more employees. Split evenly across the country, 40 reps would each cover 315 of them and 20 reps 630; plumbing sites are in the count, so read it as the order of magnitude. No rep keeps 315 accounts in their head. On a map sorted by days since the last visit, they become a route.
The drive is the other number. The IRS business mileage rate for 1 July to 31 December 2026 is 76 cents a mile (irs.gov, read 8 November 2026). Put in your team's weekly miles:
| Miles per rep per week | Mileage cost per rep per week at 76 cents | 40 reps, 48 weeks |
|---|---|---|
| 150 | $114 | $218,880 |
| 250 | $190 | $364,800 |
| 400 | $304 | $583,680 |
Own calculation: weekly miles times 76 cents times reps times 48 working weeks. The weekly miles are your input, not a measured average.
At 250 miles a week, every 10 percent of miles your 40 reps stop driving is $36,480 a year. Lead Mapper orders each day by drive time and keeps each rep inside one territory; run your own routes through it in the trial and read the cut off this table.
Your replacement list is already in your CRM
ENERGY STAR tells homeowners and building owners it may be time to replace when "Your heat pump or air conditioner is more than 10 years old" and when "Your furnace or boiler is more than 15 years old" (energystar.gov, read 8 November 2026). Every maintenance agreement you sold ten years ago is a unit crossing that line now, and the install date on the account tells you which ones.
In Lead Mapper, keep the install date on the account and color the map by equipment age: units past 10 years in one color, furnaces and boilers past 15 in another. In the slow weeks between seasons, route reps to those accounts first. An 11-year-old heat pump on a maintenance agreement is a replacement conversation, and the rep arrives with the service history already on the record.
Best HVAC sales software for 20 to 100 reps: six checks
Six questions for every demo, asked with your own account list:
- Can I see every service agreement, property manager and contractor account on one map? Lead Mapper reads them from your CRM, no import file.
- Can I split the map into one territory per rep and write the owner back? Lead Mapper draws territories and assigns each to one rep in the CRM.
- Does each rep get a route, not a pin cloud? Lead Mapper orders every day by drive time and runs it in driving mode.
- Does the visit land on the CRM record? Every visit is an activity on the account, with time, location and notes.
- Can I color accounts by renewal date or equipment age? Yes, and we set it up with you: one color for units past 10 years, one for furnaces past 15, so Monday's route starts with the replacement most likely to close.
- Can I find accounts that are not in my CRM yet? Lead Mapper searches businesses by category around any point: property management firms, schools, clinics, the next commercial building on the street.
Load your reps' accounts on Monday, see the first territory split by lunch and run the first routes on Tuesday: start the 7-day free trial. For dispatch and technician routing, see HVAC routing software for service teams and our look at HVAC dispatch software; if your reps knock residential doors for replacements, Lead Mapper is also the door to door sales app for those neighborhoods. FAQ
HVAC sales software FAQ
HVAC sales software is the tooling an HVAC contractor or supplier uses to find, visit and close customers. Proposal tools build the good, better, best options at the customer's site; Lead Mapper runs the field side: every account from your CRM on one map, a territory per rep, a route for each day and every visit logged back to the CRM.
For an HVAC team with 20 to 100 reps calling on building owners, property managers and contractors, Lead Mapper is the HVAC sales software that fills the calendar: territories per rep, daily routes by drive time and every visit written back to HubSpot, Salesforce, Pipedrive or Zoho CRM. It runs next to the job system you use, on the CRM where your accounts already live.
HVAC sales proposal software builds the quote in front of the customer: ServiceTitan, Housecall Pro, Jobber and FieldEdge describe good, better and best options on their own pages (read 8 November 2026). Lead Mapper brings the rep to more of those tables: it routes the visits to service agreement accounts, property managers and replacement candidates and logs each one in your CRM.
Yes. Lead Mapper runs on iPhone and Android: the rep sees the day's accounts on a map in route order, drives the day in driving mode and logs each visit with one tap, written to the account in your CRM with time, location and notes.
For a field team it runs in four steps: know the accounts (building owners, property managers, contractors), own a territory, visit on a route, and log each visit so the service agreement or replacement quote follows. Lead Mapper runs all four on your CRM, and colors the map by renewal date or equipment age so the next visit is the one most likely to close.
