The calculator holds no estimate. Each input is a figure printed on the vendor's own pricing page, quoted in our field sales software price index with the date it was read, or in the dated source ledger behind it. Where a vendor changed a term after the index was published, the newer reading is used and both dates are given.

How to read a field sales software cost estimate for a team
A team bill has three parts: the rate per seat, the number of seats you are billed for, and anything charged per user on top. Vendors advertise the first. The other two are where budgets go wrong, because both depend on your headcount and neither shows up in a headline price.
The seat count is not always your team. It is the larger of your headcount and the vendor's minimum. A two-person territory team on Map My Customers is billed for five users, because the pricing page states: "The minimum is 5 users for the Industry Leader plan, 10 users for Enterprise, and 35 users for Field Intelligence plans." At $99 that is $495 a month, $5,940 a year, for two people.
The plan is not always your choice either. Some tiers are only sold within a headcount band, so the cheapest plan on the page may not be one you can buy. The calculator picks, for each vendor, the cheapest plan that accepts your team size, and the table under "Every plan at this team size" shows what the others would cost and why any are unavailable.
Take twenty reps on annual billing as a worked case. Lead Mapper is 20 x $27 = $540 a month. SalesRabbit's cheapest option is Pro at $49, so $980. Badger Business is $1,160, Leadbeam Starter $1,180, RepMove Accelerate $1,600, Map My Customers Industry Leader $1,980. Route4Me's entry tier is a flat $199, whatever the headcount. SPOTIO requires at least five seats and prints no price, so there is nothing to multiply.
Read the per-year column as a commitment, not a projection. Map My Customers states "Plans are based on a 12-month commitment", so its annual figure is the contract. For vendors billed month to month, the annual figure is what twelve months cost if nothing changes.
The three drivers of field sales software cost
Across nine tools, three variables explain almost every gap between the advertised price and the invoice. Each is set by the vendor, each is printed somewhere on its pricing page, and each can be checked before a demo call.
1. Billing term
The number in large type is usually the annual rate. Month to month, the same seat costs between 10 and 54 percent more: Badger Business is $58 annual and $69 monthly, RepMove Accelerate $80 and $87.99, SalesRabbit Pro $49 and $75, Leadbeam Starter $59 and $89. Leadbeam's own toggle names the gap: "Monthly / Yearly, 35% discount".
At twenty reps the term alone is worth $7,200 a year on Leadbeam Starter ($89 against $59, times twenty seats, times twelve months). Two vendors narrow the choice for you. Map My Customers sells annual only. SalesRabbit Team is printed only as "Billed Monthly", so in annual mode the calculator keeps it at $59 and marks it.
2. Plan limits and seat minimums
RepMove shows why the plan boundary matters more than the plan price. Flex is "For individual users", Sales Pro "For up to 10 users", Accelerate "For 11+ users". A team of ten on Sales Pro, billed annually, pays 10 x $54 = $540 a month. Hire an eleventh rep and the team moves to Accelerate: 11 x $80 = $880. The eleventh seat adds $340 a month, not $54.
Seat minimums work from the other end. Map My Customers bills at least 5, 10 or 35 users depending on the plan, and that floor has moved: on 19 July 2026 the Industry Leader minimum was three users, on 27 September it read five. SPOTIO publishes "Minimum team size: 5+ field sales professionals" and no price, which fixes the smallest order at five seats of an unknown amount. SalesRabbit mentions a minimum without a number: "When you sign up for your account the SalesRabbit Account Executive will help you determine a minimum number of user licenses for the account." The calculator cannot apply a minimum nobody has published, so SalesRabbit rows carry a flag instead.
Route4Me sits outside this logic. Its tiers are flat monthly fees per account, "$199/month", "$299/month" and "$349/month". The calculator shows them as printed and marks them "not priced per seat". It does not divide them by your headcount, because the page is a price for an account, not for a rep.
3. Add-ons
SalesRabbit publishes four add-ons, each per user per month: "DataGrid AI: $19 billed annually per user/month, $26 billed quarterly, $31 billed monthly", Weather priced the same, Mover Leads and Digital Contracts at $13 annually or $20 monthly. Tick them above and they are added to the Team and Pro rows. Twenty reps on Team, month to month, with DataGrid AI, Weather and Digital Contracts pay $59 + $31 + $31 + $20 = $141 per user, $2,820 a month against a seat-only $1,180.
Badger Maps also prints add-on prices (read 27 September 2026). Badger Insights is "$50 /mo Per user (not per territory), billed annually" and "$60/mo billed monthly"; Badger Scoreboard is "$12 /mo * Per user, billed annually", "$14/mo billed monthly", with a "Minimum of 5 licenses"; Badger Align and Badger Lead Routing priced per territory with a minimum of five. Territory counts cannot be derived from a rep count, so the calculator leaves Badger's add-ons out rather than assume one. Route4Me marks many features "Paid Add-On" without a figure. The other vendors print nothing, which is a gap in the published record, not evidence that no add-ons exist.
What the calculator does not include
- Quote-only tiers. Badger Enterprise Plus reads "Get a quote", SalesRabbit Enterprise "Contact Us for Enterprise Pricing", Leadbeam Enterprise "Volume pricing". They are named in the plan table and priced at nothing.
- Negotiated discounts. Demo-gated vendors negotiate, and none publish what they settle at. The calculator prices list rates only.
- Quarterly billing. SalesRabbit prints a quarterly add-on rate ($26 for DataGrid AI and Weather) but no quarterly seat price, so the calculator offers monthly and annual only.
- Taxes, setup and integration fees. Not modelled. The calculator prices seats and published per-user add-ons, nothing else.

Month to month runs 10 to 54 percent above the annual rate per seat, Map My Customers bills at least 5, 10 or 35 users, and SalesRabbit's four add-ons cost $13 to $31 per user each.
Which field sales tools publish add-on prices?
SalesRabbit publishes four, per user per month. Badger Maps also printed add-on prices when read on 27 September 2026, several of them per territory with a minimum of five. Route4Me marks features "Paid Add-On" without a figure.
Why does the calculator show no price for SPOTIO or GeoMapper?
Neither publishes one. SPOTIO's page reads "Pricing is user-based." with no figure and a five-seat minimum. GeoMapper's pricing URL returns a 404 and its site states "For now we are not taking on any new customers."
